What happens in an On-Target! Marketing Sales Hub Audit & Discovery Phase?
Phase 1: Discovery & Audit
In this initial phase, we will conduct a comprehensive evaluation of the existing HubSpot setup to identify gaps, inefficiencies, and areas for optimization. The goal is to ensure that the platform aligns with business objectives, streamlines workflows, and enhances lead management and sales processes.
Step 1: HubSpot Audit (Technical & Functional Review)
- Assess the current HubSpot portal configuration, including contact properties, deal stages, automation workflows, reporting, and integrations.
- Evaluate data structure and integrity, identifying duplicate records, missing fields, or inconsistencies.
- Review email templates, sequences, and automation workflows for efficiency and compliance with best practices.
- Analyze user roles and permissions to confirm appropriate access levels for team members.
- Identify any third-party integrations (e.g., Salesforce, Zapier, marketing automation tools) and assess their effectiveness.
Step 2: Sales & Lead Management Review
- Map out the existing sales process and pipeline stages to determine if they accurately reflect business operations.
- Examine the lead scoring model (if applicable) and evaluate its effectiveness in prioritizing high-value leads.
- Review how contacts, deals, and companies are organized and segmented for proper lead tracking.
- Analyze sales rep activity and usage patterns within HubSpot to identify friction points.
Step 3: Stakeholder Interviews & Pain Points Analysis
- Conduct one-on-one interviews with key stakeholders, including sales, marketing, and customer success teams, to gather qualitative insights.
- Identify pain points and bottlenecks in current processes, including manual workarounds or inefficient workflows.
- Define key objectives for HubSpot optimization based on feedback and business goals.
Step 4: Roadmap Development & Recommendations
- Compile findings into a detailed audit report, highlighting gaps, inefficiencies, and improvement opportunities.
- Provide a prioritized list of recommended optimizations, including technical fixes, process enhancements, and automation opportunities.
- Develop a step-by-step roadmap with estimated timelines for each phase of optimization.
